BoomPop
One-click events planning

Overview
BoomPop connects organizers and executive assistants with an internal event-design team to plan an offsite or retreat.
A one-click event, instead of a sales cycle. The core of the work was the dashboard experience: giving admins and organizers a self-serve way to plan, book, and manage an entire event's itinerary, guest list, and budget in one place.
I led the design and overall experience with BoomPop's Head of Product, alongside another junior designer on core experience, search, and other initiatives. I also worked directly with engineering, and with multiple people across marketing, operations, and sales as the product moved from an inbound-call model to a self-serve one.
Problem
On a mission to bring people together
Planning an event or offsite for your team can be stressful at times; you might spend hours researching, planning, or not be sure where to start.
We see the opportunity to streamline that process for the organizer while keeping everything accessible, including booking, planning the itinerary, and sending out invites. Our goal for the project was to create solutions that: Utilize our event experts to create impactful team experiences in some of the most unique destinations in the world. Provide a software tool to help organizations plan more efficiently, quickly, and all in one view.
A disjointed experience
For any organizers or EAs to plan a successful company event, efficiency is key. After some interview we realized that the craft of event planning is extremely outdated, everything is done manually. The process can be overwhelmed by option, unsure where to start, with multiple tools and options to go through.

Old Flow
Every event started with a phone call
Before this project, getting BoomPop to plan an offsite meant scheduling a call — a human touch point at nearly every step, from the first inquiry quiz through the final contract. It worked, but it didn't scale past however many calls the team could sit through in a week, and it asked the organizer to wait for a live conversation just to see what was possible.
The goal was to build a self-serving dashboard experience for booking a team event — replacing "schedule a call" as the front door, while keeping BoomPop's actual expertise (the recommendations, the vetted venues) inside the product instead of gated behind a person.

Process & Key Decisions
Mapping the whole application before drawing a screen
With six-plus categories of decisions (venue, guests, itinerary, financials, communications) and two very different task flows to fold into one product, the application map came before any UI: home → quiz → account creation → event dashboard → booking → payment → confirmation, with the dashboard itself branching into venue, bookings, guest RSVP, itinerary, financials, and communications.

A conversational quiz replaced a multi-field intake form as the entry point. Most organizers didn't know where to start or what information they'd even need before planning — a quiz could teach the shape of the decision (destination, headcount, budget, dates) one question at a time, instead of presenting all of it as a blank form.
Quiz Flow
Better understanding what users are looking for
Most of the organizers don’t really know where to start or what information is needed before planning, we tried to educated with question while gathering necessary information to support our recommendations. Once the users enter the flow from home page, we will trigger a quiz for the users to fill out necessary information.

The entry point — one clear call to action instead of a menu of options.

All eight questions, in order — each paired with photography so the quiz feels like inspiration, not paperwork.

The dashboard's four regions, annotated: persistent nav, an always-visible support entry point, a task list that reflects actual progress, and optional add-ons that never block the core path.
Booking
Search, book, and set up guest access without a call
The four moments that used to require a sales rep, rebuilt as self-serve steps with the same underlying data BoomPop's own planners used.

1. Select experiences and dates — Explore and select exceptional activities and dining options for your team.
2. Request availability — Request availability with one-click and we'll send you available options.

Your Guest Website is where guests RSVP and view everything they need to know about the event.

Once you complete your Guest Website and invite your guests, their RSVP responses will show up here.
Financial
Compare pricing in one glance
In order to optimize the exploring and browsing experience, there was only one thing we needed to know from the user's POV: pricing and best time to book venue or hotel. It was also useful to include different features, such as filters to adjust their party sizes and budgets, a quick-glance modal to learn more about each venue, and image galleries.

The filters that mattered most — date range and vendor type — pulled to the top and highlighted for testing.

The complete booking sequence, start to finish — nine screens, no phone call.
Guest Management
Invite and manage your guest list
Throughout the project, we are learning how organizers’ requirements changes quite often. Attendee may drop off at the very last minute before the event- this might change the total headcount which does affect the total cost of their booking.
CSV: offers organizer the flexibility to update their attendee list with the necessary information, then map it to the system.
Manual input: offers quicker upload solution for smaller team without the additional step of filling out the CSV form.
Invitation link: giving the ownership to the attendee / easy to share via Slack or email, once attendee accept the invitation, they will be immediately added as guest.

Final Product
Touch-less self service
Our mission is to better assist organizers to plan faster and more in confident, reduce response and wait time to boost booking rate.

Revisit global nav
By introducing the new feature of office planning, we need to make modification of what we are showing our customer from the marketing and product POV.
We started to identify how can we educate our existing and new customer about the new offering, and potentially- get them to book with us as soon as possible.
